Use the Business API, not a staff phone
Sending reminders from a personal WhatsApp is fast until that employee leaves, the number is blocked for spam, or a dispute needs a message history nobody can find. The WhatsApp Business API gives you a verified business sender, approved message templates, delivery status and a record attached to each client in your system.
Templates and the rules that get them approved
Business-initiated messages must use pre-approved templates in each language. Keep them transactional and specific, use named variables, never end a template with a bare URL, and keep marketing out of utility templates. Collect opt-in at lease signing and in the portal, and honour opt-outs.
- One template per event, in Arabic and English
- Short links on your own domain instead of long URLs
- Clear sender name and a way to reply or opt out
- Log every send, delivery and read against the client record
The messages that actually move money
Not every event deserves a message. The ones that pay for themselves: invoice issued with a pay link, reminder three days before a cheque or payment is due, receipt after payment, bounced-cheque notice, maintenance assigned and resolved, renewal offer, and a one-time sign-in code for the portal.
Notify staff as well as clients
The same channel keeps your team on time: cheques due this week, a new maintenance request, a lease expiring in 30 days, a payment received after hours. Route by role so the accountant, the maintenance lead and the leasing agent each see only what they own.
Frequently asked questions
- What does WhatsApp cost per message?
- Pricing depends on the country and template category and is charged per conversation window. Platforms usually bundle a monthly quota into each plan and meter extra messages; check the quota against your unit count and reminder cadence.
- Can clients reply?
- Yes. Replies open a 24-hour window in which free-form messages are allowed; a good system shows the thread next to the client and lets staff answer from the dashboard.
