Managing post-dated cheques and rent collection without surprises

How leasing teams register, track, deposit and reconcile post-dated cheques, handle bounces professionally and keep tenants informed in Arabic and English.

Register cheques at signing, linked to the invoice schedule

The cleanest cheque process starts at lease signing. When the tenant hands over four, six or twelve cheques, each should be recorded immediately against the invoice it pays: bank, cheque number, amount, due date and a scan of the cheque. From that moment the system knows what is expected and when.

Avoid a separate 'cheque spreadsheet'. If cheques live apart from invoices, you end up reconciling twice and nobody can answer 'is March paid?' with confidence.

Run a deposit calendar, not a drawer

Each week, someone should see every cheque due in the next 7–14 days, grouped by bank. Remind the tenant a few days before the date — most bounces are forgotten transfers, not bad faith — then mark the cheque deposited with the bank slip reference.

  • Weekly 'due this week' list by bank and property
  • Automatic tenant reminder 3 days before the due date
  • Deposit status with slip reference and date
  • Cleared / returned status updated after the bank statement

Handle bounced cheques consistently

A returned cheque should trigger a defined sequence: record the return reason and bank fee, notify the tenant in their language, request a replacement or transfer within a set number of days, and escalate with a formal notice if unpaid. Doing this consistently protects your relationship with the owner and your legal position.

Reconcile against the bank statement monthly

Reconciliation is where errors surface: a cheque deposited to the wrong account, a transfer never matched, a duplicate receipt. Upload the statement, match lines to receipts and cheques, and investigate only the exceptions. With OCR on statements, this shrinks from a day to under an hour.

Frequently asked questions

Should we accept bank transfers instead of cheques?
Many agencies now offer both. Transfers and online card payments reduce handling, but cheques still give owners post-dated security. A good system treats cheques, transfers, cash and online payments as receipts against the same invoice.
How do we charge bounce fees?
Record the bank fee and any contractual penalty as a separate invoice line or charge on the tenant's account so it appears on their statement and is collected with the replacement payment.
